Integration Sync Issues

Fix stale OAuth tokens, missing transactions, duplicate data, and reconnect a broken integration.

If your Xero actuals aren't updating, use this step-by-step guide to identify and fix the issue.

Step 1: Check connection status

Settings → Integrations → Xero. If status is 'Disconnected' or shows an error icon, proceed to Step 2. If status is 'Connected' but actuals look stale, proceed to Step 3.

Step 2: Reconnect

Click 'Reconnect' and complete the Xero OAuth flow. The most common cause: Xero automatically revokes access tokens after 30+ days of inactivity or when a Xero user's password changes.

Step 3: Trigger a manual sync

Click 'Sync Now'. Watch for an error message. Common errors: 'Rate limit exceeded' (wait 15 minutes and retry), 'Organisation not found' (re-connect), 'Insufficient permissions' (check your Xero user role).

Step 4: Check COA mapping

If actuals import but look wrong, go to Settings → Integrations → Xero → Chart of Accounts. Check the 'Unmapped' tab — accounts there are excluded from model totals. Map them to the correct component.

Step 5: Check the sync date range

Confirm the sync period covers the months you're checking. Settings → Integrations → Xero → Sync Settings → Date Range.
